Displaying Holdings Data from the Coverage Table

When a record is displayed in Sierra or the WebPAC, holdings data from the coverage table can be incorporated into the record display as an uneditable field. The system finds the appropriate holdings data in the coverage table by matching data from the selected record to data in the coverage table.

By default, alternate lookups and the RESOURCE ID, ISSN, and TITLE fields are used to locate the correct data in the coverage table when the system displays holdings data from the coverage table in Sierra or WebPAC record displays. Your library chooses the alternate lookup during system set up and determines whether alternate lookup is the primary matchpoint. Other matchpoints and the order in which they are matched cannot be changed.

If you choose to set up your system without alternate lookups, only RESOURCE ID, ISSN, and TITLE fields are used to locate the correct data in the coverage table when the system displays holdings data from the coverage table in Sierra or WebPAC record displays. These matchpoints cannot be chosen or changed.

Systems with Alternate Lookups

When displaying holdings data from the coverage table, the alternate matchpoint by default matches the value in the o-tagged variable-length field of bibliographic records to the ALTLOOKUP field of the coverage table.

  • To match a different record type or variable-length field when displaying holdings data from the coverage table, contact Innovative.
  • The alternate lookup is the primary matchpoint by default. To change whether the alternate lookup is the primary matchpoint, contact Innovative.
  • To disable alternate lookups when displaying holdings data from the coverage table, contact Innovative.

When using alternate lookups, the system finds the holdings data in the coverage table to incorporate into Sierra or WebPAC record displays by matching the values in variable-length fields in bibliographic records to values in the coverage table.

For example, if the specified record type and field group tag for alternative matching are 'b' and 'o', the system tries to match the value in the bibliographic record's o-tagged field to a value in the ALTLOOKUP column of the coverage table. If a bibliographic record has an o-tagged field containing the value "53367797" and the resource record that is soft-linked to the checkin record has a RESOURCE ID field with the value "American Chemical Society," then "American Chemical Society" and "53367797" are used to locate and display the appropriate coverage data.

The matching process for coverage table data and record data is:

  1. A record is opened for display in Sierra or WebPAC.
  2. For the record displayed in Sierra or WebPAC, the system finds:
    • the value in the RESOURCE ID field for the resource record that is soft-linked to the the holdings record
    • the value in the variable-length field used for alternate matching (i.e., the ALTLOOKUP value)
    • the value in the ISSN field
    • the value in the TITLE field
  3. If the system finds the displayed record's values for the RESOURCE ID, ALTLOOKUP, ISSN, and TITLE fields and matches them to a coverage table entry, the holdings for that entry are incorporated into the record's display.
  4. If the system finds the displayed record's values for the RESOURCE ID, ALTLOOKUP, ISSN, and TITLE fields but fails to match them to a coverage table entry, it executes these steps:
    1. If ALTLOOK is primary, the system looks for a coverage table entry that matches on the values of RESOURCE ID and ALTLOOK.

      If ALTLOOKUP is not primary, the system skips this step.
    2. If the system fails to find a coverage table entry in the steps above, it looks for a coverage table entry that matches on the values of RESOURCE ID, ISSN, and TITLE. In this case, the EISSN column in the coverage table is included in the search for an ISSN value.
    3. If the system fails to find a coverage table entry in the steps above, it looks for a coverage table entry that matches on the values of RESOURCE ID and ISSN. In this case, the EISSN column in the coverage table is included in the search for an ISSN value.
    4. If the system fails to find a coverage table entry in the steps above, it looks for a coverage table entry that matches on the values of RESOURCE ID and TITLE.
    5. If the system fails to find a coverage table entry in the steps above, and ALTLOOKUP is not primary, the system looks for a coverage table entry that matches on the values of RESOURCE ID and ALTLOOKUP.
  5. If the system finds only the displayed record's values for the RESOURCE ID, ALTLOOKUP, and TITLE fields and matches them to a coverage table entry, the holdings for that entry are incorporated into the record's display.
  6. If the system finds only the displayed record's values for the RESOURCE ID, ALTLOOKUP, and TITLE fields but fails to match them to a coverage table entry, it executes these steps:
    1. If ALTLOOK is primary, the system looks for a coverage table entry that matches on the values of RESOURCE ID and ALTLOOK.

      If ALTLOOKUP is not primary, the system skips this step.
    2. If the system fails to find a coverage table entry in the steps above, it looks for a coverage table entry that matches on the values of RESOURCE ID and TITLE.
    3. If the system fails to find a coverage table entry in the steps above, and ALTLOOKUP is not primary, the system looks for a coverage table entry that matches on the values of RESOURCE ID and ALTLOOKUP.
  7. If the system finds only the displayed record's values for the RESOURCE ID, ISSN, and TITLE fields and matches them to a coverage table entry, the holdings for that entry are incorporated into the record's display. In this case, the EISSN column in the coverage table is included in the search for an ISSN value.
  8. If the system finds only the displayed record's values for the RESOURCE ID, ISSN, and TITLE fields but fails to match them to a coverage table entry, it executes these steps:
    1. If the system fails to find a coverage table entry in the steps above, it looks for a coverage table entry that matches on the values of RESOURCE ID and ISSN. In this case, the EISSN column in the coverage table is included in the search for an ISSN value.
    2. If the system fails to find a coverage table entry in the steps above, it looks for a coverage table entry that matches on the values of RESOURCE ID and TITLE.
  9. If the system finds only the displayed record's values for the RESOURCE ID and TITLE fields and matches them to a coverage table entry, the holdings for that entry are incorporated into the record's display.

Systems Without Alternate Lookups

The process of locating coverage table holdings data for display in Sierra or WebPAC record displays is:

  1. A record is opened for display in Sierra or WebPAC.
  2. For the record displayed in Sierra or WebPAC, the system finds:
    • the value in the RESOURCE ID field for the resource record that is soft-linked to the the holdings record
    • the value in the ISSN field
    • the value in the TITLE field
  3. If the system finds the displayed record's values for the RESOURCE ID, ISSN, and TITLE fields and matches them to a coverage table entry, the holdings for that entry are incorporated into the record's display.
  4. If the system finds the displayed record's values for the RESOURCE ID, ISSN, and TITLE fields but fails to match them to a coverage table entry, it executes these steps:
    1. The system looks for a coverage table entry that matches on the values of RESOURCE ID, ISSN, and TITLE. In this case, the EISSN column in the coverage table is included in the search for an ISSN value.
    2. If the system fails to find a coverage table entry in the steps above, it looks for a coverage table entry that matches on the values of RESOURCE ID and ISSN. In this case, the EISSN column in the coverage table is included in the search for an ISSN value.
    3. If the system fails to find a coverage table entry in the steps above, it looks for a coverage table entry that matches on the values of RESOURCE ID and TITLE.
  5. If the system finds only the displayed record's values for the RESOURCE ID and TITLE fields and matches them to a coverage table entry, the holdings for that entry are incorporated into the record's display.
  6. If the system finds only the displayed record's values for the RESOURCE ID and ISSN fields and matches them to a coverage table entry, the holdings for that entry are incorporated into the record's display. In this case, the EISSN column in the coverage table is included in the search for an ISSN value.
