Patrons in Promote
For Sierra and Polaris libraries, this release introduces the unification of your cardholder and non-cardholder records.
-
Related Cardholder Accounts: On cardholder records you will see "Related Accounts" for easy identification of patron records that share the same email address, helping you to recognize household or multi-account relationships that you're sending emails to.
-
Consolidated Email Activity: From cardholder records you can "View Email Activity". This provides a consolidated view of all email communications sent to a specific email address, even if they span multiple patron records, making outreach tracking more transparent and efficient.
-
Record Deduplication: Promote automatically identifies when a non-cardholder record matches an existing cardholder. When a match is found, activity from the non-cardholder record is seamlessly merged into the cardholder’s profile. This helps maintain cleaner patron databases and provides more accurate insights into who your library is engaging.
Automated Age Checks
The Promote age verification setting will automatically exclude minor patrons from marketing segments, helping you to protect children’s privacy, reduce legal risk, and maintain trust with your community.
When the "Automated Age Checks" setting is "On", Promote will automatically exclude patrons under 13 from segments using Date of Birth or designated P-types/P-codes, if the date of birth is unavailable. Minors may enter segments if they submit the sign-up form, which requires confirmation that they are 13 or older.
When the "Automated Age Checks" setting is "Off", no age-based exclusions are applied, and all patrons can be included in your segments.
Additionally, the "Require library staff to verify age checks on imports" setting adds an important layer of accountability and compliance. When enabled, staff must confirm that no patrons under the age of 13 are included in imported files. Each verification is logged in the import history, creating a clear audit trail. This helps to ensure responsible data handling.
These settings operate independently, giving your library the flexibility to tailor how minor patrons are handled in marketing communications. You can configure each option based on your specific policies and outreach goals.
Patron Segmentation
Promote now supports dynamic audience filtering, allowing library marketers to turn patron data into real-time, actionable segments that power more personalized and timely communications.
With this enhancement, you can:
-
Filter audiences using data directly from patron records, such as Home Library, Cardholder Creation Date, Card Expiration Date, Patron Types/Patron Codes, and much more!
-
Build dynamic segments from filtered searches. These segments update automatically as patron data changes, ensuring your messages always reach the most relevant people.
Segment Deletion
Promote now supports the ability to delete segments, so you can remove anything you are no longer using. Start deleting segments directly from the detail view of each segment.
