Sorting Item Records by Volume

You can perform a volume sort on the item records attached to a bibliographic record. You can then preserve this sort order. The sorting process sorts the records first by location name, then by call number, and finally by volume.

Roman numerals used in the volume field (e.g., Vol. IX) sort as letters instead of numbers, and might not file as expected.

  1. Retrieve the bibliographic record that is linked to the items you want to sort.
  2. Choose the Summary tab, and then choose item in the View drop-down list.
  3. Choose one of the following options from the Edit menu:
    • Location/Call no./Ascend Vol. Sort — Sorts the item records by volume number in ascending order.
    • Location/Call no./Descend Vol. Sort — Sorts the item records by volume number in descending order.
  4. (Optional) Retain the sorted order by choosing Edit | Preserve Sort. Sierra preserves the sort order permanently, or until you change the order of the items by moving them or by re-sorting and saving them again.
Sorting by Location Name Instead of Location Code

Note that while the item location code appears in the Location column of the Summary tab, the location portion of the volume sort is performed according to location name, and not location code. Therefore, when you perform a volume sort, the item records might not sort in the same order that they would if you were to sort them by clicking the Location column header.
