Special Considerations for System-Generated Fields
Some fixed- and variable-length fields are generated by the system and protected from modification through the record editor. These "protected fields" are described briefly below.
Fixed-length Fields for Circulation
The following item record fixed-length fields are protected fields:
| DUE DATE | The item due date. |
| LCHKIN |
Date of the last check in for the item (The Check-in: Store check-in time in item record Circulation Option must be set to "YES".) Innovative can configure the system so that the LCHKIN field stores both the date and time of the last checkin. To change the format of the LCHKIN field at your library, contact Innovative. If the Allow Rapid Updating of LCHKIN Field feature is enabled, you can use Rapid Update to reset the value of the LCHKIN fixed-length field to zero. | LOANRULE | The loan rule under which the item is currently checked out. If not checked out, this value is zero. |
| LPATRON |
Record number of the last patron to check out the item (The Check-in: Store last patron in item record Circulation Option must be set to "YES".) If the Allow Rapid Updating of LPATRON Field feature is enabled, you can use Rapid Update to reset the value of the LPATRON fixed-length field to zero. | ODUE DATE | The date of the last overdue letter. |
| OUT DATE | The date the item was checked out. |
| PATRON# | The record number of the patron who has the item (displayed without the last digit, the check digit). Zero if the item not checked out. |
| RECAL DATE | The date a recall for the item was made (blank if the item has not been recalled). |
Fixed-length Fields for Statistics
The following item record fixed-length fields are protected fields:
| #OVERDUE | The level of the last overdue letter sent to this patron (e.g., 1 = first overdue, 2 = second overdue, etc.). |
| #RENEWALS | The number of times the item has been renewed by this patron. |
| COPY USE |
Number of times the item has been used for photocopying. You can use Rapid Update to set COPY USE back to zero to start a new statistical period (year, quarter, etc.) |
| INTL USE |
Number of times item has been used inside the library. You can use Rapid Update to set the INTL USE back to zero to start a new statistical period (year, quarter, etc.) |
| IUSE3 |
Library defined internal use count. You can use Rapid Update to set the IUSE3 back to zero to start a new statistical period (year, quarter, etc.) |
| TOT CHKOUT |
Total number of times the item has been checked out. The TOT CHCKOUT field can be reset to zero to start a new statistical period (year, quarter, etc.). Contact Innovative if you want to reset the field. |
| TOT RENEW |
Total number of times item has been renewed. The TOT RENEW field can be reset to zero to start a new statistical period (year, quarter, etc.). Contact Innovative if you want to reset the field. |
| YTDCIRC | Number of times the item has been checked out so far during this statistical period (e.g., this year). |
| LYRCIRC |
Number of times the item was checked out during the last statistical period (e.g., last year). Rapid Update can be used to replace the value in the LYRCIRC field with that in the YTDCIRC field, and then, if desired, to set the YTDCIRC field back to zero. Doing so allows you to keep a running total of the number of times an item has circulated during the current statistical period (e.g., year, quarter, etc.), and to see the total number of times the item circulated in the previous period. There is an option to add the current circulations to the previous period rather than replacing that entry. Contact Innovative to change your system's behavior. |
Variable-length Fields for Circulation
The following item record variable-length fields are protected fields:
| COURSE ID | Course record number of the course for which this item is on course reserve. |
| SAVE ITEM | Original I TYPE, LOCATION, and TOT CHKOUT values saved when an item is placed on course reserve (so they can be restored when the item comes off reserve). |
