Generating and Printing Notices

You can generate and print the following types of notices at any time from the Utilities menu :

  • Overdue and billing notices
  • Hold notices
  • Fine notices
  • Combined notices
  • Patron billing statements

For overdue and fine notices, a nightly process automatically places the notices in the queue for delivery. The queue for hold request notices is built item-by-item as each item’s status changes to Held. When you print the notices, you can choose to post the notices, which causes Leap to write data to the database records and to clear the appropriate queue.

Leap produces these printed notices in a paper format that you specify. If one notice lists too many items to fit on a single form, Leap generates a second form for the same patron, using the same header text and listing the remaining items. (The Post Card format does not contain specific item information.) The system sends the notices to the address in Notification SettingsNotices Address field in the patron record. You can also print Patron Billing Statements, which list all the current charges on a specific patron’s account. You can print these notices for a specific patron or patrons, or for an organization. You can generate a statement of current charges for each patron who owes outstanding charges that fall between a minimum amount and a maximum amount that you specify. This billing statement helps patrons understand exactly what they owe, and does not affect the notices queue. To generate or print notices in Leap:

  • Your user account must have the Access reports and notices: Allow permission. For more information, see "Granting Permissions" in the Polaris Administration help.
  • The Override default Report Server authentication setting must be enabled and properly configured on the Report Server Setup window in Polaris Administration. For more information, see "Specify a Server for Reporting Services" in the Polaris Administration help.
