Order List or Summary Reports

Purchase order list reports and Purchase order summary reports offer the same types of data columns and filters for defining the report criteria, but the report output is different. Purchase order list reports are detailed lists of data from purchase order records and their associated records, while Purchase order summary reports provide counts based on the selected criteria.

Purchase order reports include filters that limit the data by criteria in the purchase order header, line items, and segments. They also include filters that limit the data based on criteria in the item records linked to the purchase order line item segments and the bibliographic records linked to the purchase order line items. For example, if you filter the report by item material type, the report output includes purchase orders with line item segments that are linked to the item records with the selected material type. To create an order list or summary report

  1. Select the Orders tab. The Purchase order list reports page appears first. If you are creating a summary report, select the Purchase order summary reports subtab.
  2. To change the row limit, type a different number in the Maximum rows to return box.
  3. Select the columns to output, and use the up and down arrows to order the columns from left to right on the report. For information on specific columns, see:
  4. Select the columns to sort.
  5. To include headings for each column in the report, select Include header rows.
  6. Specify the format for the report.
  7. Select the fiscal year status, and select a fiscal year.
  8. Important:
    You must select a fiscal year to create a purchase order report.

  9. Apply filters to the report data. For information on specific filters available for purchase order reports, see:
  10. Click Submit, and either download the report or save it. The report preview screen opens. For more information, see Preview a report.
  11. Do one of the following:
    • Download the report in the selected format.
    • Save the report file in the My Reports list. See Save report parameters.
