Set Import Options for Authority Records

To set import options for authority records

  1. On the Import Profile workform, select the Authority Records tab.

  2. In the Authority Record Options section, select one of the following options:

    • Save all records as final

    • Save all records as provisional

    • Do not save any records

    Note:

    You might select the Do not save any records option if you:

    • Are importing a file that contains a mix of record types. For example, select this option if you're importing a file that contains both bibliographic records and authority records and you only want to save the bibliographic records.

    • Want to test the import without saving records to see the types of errors that occur.

  3. To perform record validation on the records you are saving as final, select Perform MARC 21 Validation, and select one of the following options:

    • Save record as provisional — If Leap finds that a record contains validation errors, it saves the record as a provisional record.

    • Ignore errors; save record as final — Leap saves records as final even when they have validation errors.

    Note:
    Leap validates records in MARC XML format using the MARC Validation: Authority setting in Polaris System Administration (web-based). In addition, Leap checks the XML structure of the file to ensure it conforms to the MARC XML standard. If the file does not conform to the standard, the records are not imported, and an error appears in the import report.

  4. Specify whether to perform duplicate detection by doing one of the following:

    • If you want to check for duplicate authority records that already exist in the database, select Perform Duplicate Detection and continue to step 5.

    • If you don't want to check for duplicate authority records that already exist, skip to step 6.

  5. Select one of the following options to specify how the system handles suspected duplicate records:

    • Save incoming as provisional —Leap saves the incoming duplicate records as provisional.

    • Save incoming as final; do not replace existing — Leap saves the incoming duplicate records as final but does not replace the database records.

    • Merge duplicate records — Leap merges the incoming duplicate records. If you select this option, do the following:

      • Select a branch from the Preferred cataloging source for list. Leap uses the preferred cataloging source for this branch to perform the merge. For more information about this process, see the Overlaying Authority Records Based on Cataloging Source section in Automatic Processes During Record Imports.

  6. To perform See Also From reference linking when no match exists in the database, select Perform See Also From Reference Linking. If you select this option, select one of the following:

    • Automatically create new see also reference; save authority record as final — Leap creates a new See Also reference and saves the record as final.

    • Do not create see also reference; save authority record as final — Leap saves the record as final but does not create a See Also reference.

    • Do not create see also reference; save authority record as provisional — Leave saves the record as provisional and does not create a See Also reference.

  7. When you have finished setting import options for authority records, continue configuring the import profile. See Create an Import Profile. You must save the import profile for your changes to take effect.
