Set Import Options for Item Records
To set import options for item records

On the Import Profile workform, select the Item Records tab.

To create item records when you import bibliographic records, select the Build item records checkbox.
The other options on the Item Records tab become active after you select Build item records.

Select one of the following options to specify how Leap builds item records:

Using embedded holdings fields only — Leap creates items from the embedded holdings data in the 852 tag, 949 tag, or other tag in the bibliographic record.

Using template/system default values only — Leap creates items from the information in the item template and any system defaults for item records. No embedded holdings tags are used to create the item records.

Using all available holdings/item fields —Leap creates items from holdings information, if it is available. If the holdings tag does not contain the information but the item template does, the field on the item record is filled in from the template.

Select one of the following options to specify how the system handles suspected duplicate records:

Save duplicate item record as provisional — Leap saves the incoming duplicate record as provisional.

Do not save duplicate item record — Leap doesn't save incoming duplicate records.

Select one of the following options to specify how the system handles incoming item records without barcodes:

Save item record as final — Leap saves new item records without barcodes as final records.

Save item record as provisional — Leap saves new item records without barcodes as provisional records.

Do not save item record — Leap doesn't save new item records without barcodes.

If you want the item records to display in the PAC, select Display in PAC (when not explicitly found).
Note:
If you use an item template, the Display in PAC setting in the item template overrides this setting. -
To use a template to fill in item record information not specified in the holdings data, select Item template (for fields that are missing) and select an item template from the list.

If you are importing full MARC records and creating shelf-ready items, select the Update items (enriched EDI) option.
Note:
Leap offers a default import profile that is set up specifically to import full bibliographic records from your book vendor and create shelf-ready item records. You can copy this profile and customize it. For more information, see the Enriched EDI Order profile in About Default Import Profiles. -
In the Embedded holdings field/MARC subfield mapping section, do the following:

In the Holdings tag number box, enter the bibliographic record tag that stores holdings data.

In the remaining boxes, enter the subfield values from the embedded holdings field that correspond to each item record field. For example, if the item barcode is stored in subfield $p of the embedded holdings field, enter p in the Barcode box.
Important:
To create item records from embedded holdings in imported bibliographic records, the data in certain required fields must match the data in Leap. For example, if your profile has defined the 852 tag subfield $a for the Assigned Branch, the data in subfield $a must match an ID or abbreviation for a branch in your system, and it must not exceed 15 characters.Note:
Leap uses the data in the circulation status subfield of the embedded holdings field unless it would result in a circulation status that is not allowed for new item records. If the circulation status in the embedded holdings field is one that is not allowed (for example, Lost or Held), Leap uses the value from the item template (if a template is specified). If no template is specified, Leap assigns an item circulation status of In.

When you have finished setting import options for item records, continue configuring the import profile. See Create an Import Profile. You must save the import profile for your changes to take effect.
