Add an attendee to a waiting list

When an event is fully booked, staff can add guests and library members to the waiting list. An email address is required because notifications are sent by email when tickets become available.

Waiting-list notifications are automated. When enough tickets become available for the first person in the queue, the system sends an email notification. The waiting list is processed every 10 minutes, so a notification may take up to 10 minutes after space becomes available.

Members and guests have a limited time to claim available tickets before they are offered to the next person in the queue. An Admin can configure this timeframe and the maximum number of waiting-list places a member can request in advanced settings.

To add an attendee to the waiting list:

  1. Select the event.

  2. Select the blue + to add an attendee to the waiting list.

  3. Enter the person's Name, Number of Places, and Card Number.

If their library account contains an email address, the email address is populated automatically.

  4. Select Add to Waiting List.

  5. Select Close.

If the first person in the queue requests more tickets than are currently available, the system waits until enough tickets become available before sending a notification.

Manage Waiting List Places

To change the number of places requested, select the blue pencil icon on the event page and update the number of places.

You can also increase the event's booking capacity to make additional places available.
